Terms and Conditions
Bright Minds Languages Standards
By enrolling with Bright Minds Language School you agree to the policies below. They describe course operation, payments, conduct, and how we care for your data and wellbeing.
1 Courses and Enrolment
Our school offers English and Spanish courses in group or private formats, delivered in-person or online.
Course details—start dates, duration, class size, and pricing—are published on our website and promotional materials.
Enrolment is confirmed once we receive a completed registration form and full payment. Admission is subject to availability and we reserve the right to refuse enrolment at our discretion.
Courses are available only to adult students (aged 18 or over).
2 Fees and Payment
An itemised invoice detailing all applicable charges and the total due is provided with each booking.
- All fees are payable in pounds sterling (GBP).
- Full payment must be received at least one month before the scheduled start date to secure your place.
- Bookings are not guaranteed until payment is confirmed and a confirmation email has been sent.
- Payments are accepted via bank transfer, debit/credit card, or online payment link.
- Valid promotions or discounts are reflected in the final invoice and cannot be postponed beyond the promotional window.
- Course fees exclude accommodation, transport, exam fees, or materials unless explicitly stated.
3 Changes, Cancellations, Postponements and Refunds
Cancellations made more than 14 days before the course start date are refunded in full minus a £25 administration fee.
Cancellations between 7 and 14 days before the start date are refunded at 50% minus a £25 administration fee.
Cancellations less than 7 days before the start date or after the course has begun are not eligible for a refund.
Refunds are issued exclusively to the original payer via the same payment method; missed classes are not refundable.
Changes to the course or start date are allowed more than 14 days before the intended start date, with refunds for lower-value options processed minus a £25 administration fee.
Changes within 14 days of the intended start date incur a charge equivalent to one week of course fees.
Courses that have already begun are non-transferable and cannot be exchanged for credit, except for teacher-led adjustments required for language level.
Private Lessons require at least 48 hours’ notice to amend the schedule.
Upgrades to longer or more intense packages may be arranged subject to payment of additional fees.
The school may cancel or reschedule due to low enrolment or unforeseen circumstances, offering either a full refund or transfer to another course.
No liability is accepted for additional costs such as travel, lodging, or activities resulting from school-led changes.
We reserve the right to cancel enrolment for breaches of the Code of Conduct; in such cases, tuition and accommodation are terminated without refund.
4 Attendance and Conduct
- Students must attend all scheduled classes punctually.
- The school may refuse entry or dismiss learners for persistent lateness, absence, disruptive behaviour, or failure to follow policy.
- Dismissal under this clause does not entitle the student to any refund.
5 Holidays and Public Holidays
The school is closed on UK public holidays.
Missed classes due to public holidays are not refundable or transferable unless stated otherwise.
No fee reduction is applied for public holidays that fall within course dates.
6 Course Materials and Intellectual Property
All teaching materials (print or digital) are protected by copyright and owned by Bright Minds Languages or our licensors.
Materials may be used for personal learning only and cannot be copied, distributed, or reproduced without written permission.
7 Liability
Bright Minds Languages is not liable for loss, damage, or injury to students or their property while attending classes or events, except where liability is mandated by law.
Students must take responsibility for their personal belongings at all times.
8 Health and Safety
Students must comply with the school’s health and safety policies.
Any medical conditions or special requirements should be disclosed before the course begins.
9 Insurance
We recommend all students obtain comprehensive health and travel insurance.
The school is not responsible for personal property loss or damage.
10 Privacy and Data Protection
We manage personal data in line with the UK GDPR and the Data Protection Act 2018.
Information is used for administrative and educational purposes and shared only when required by law or with your consent.
Full details can be found in our Privacy Policy.
11Complaints Procedure
We strive to resolve complaints promptly, fairly, and transparently.
Raise concerns informally with your teacher or the school administrator first. If unresolved, submit a formal written complaint with your name, course, date, and supporting evidence.
Complaints are investigated confidentially and impartially, with an aim to respond or propose resolution within 10 working days.
12 Visas and Student Eligibility
Students must hold valid documentation to study and reside in the UK.
Bright Minds Languages does not provide visa sponsorship for students coming to the UK solely for language study.
Courses are intended for UK citizens, permanent residents, or visa holders already authorised to study (pre-settled/settled status, work, family, or graduate visas).
Visitors on a Standard Visitor Visa may study Spanish recreationally for up to 30 days.
Non-UK nationals must prove their right to reside and study during the application process. Providing false or misleading immigration information may lead to immediate termination of enrolment and referral to the relevant authorities without refund.
